Decide on a Location

Choosing an interesting location that attendees will be excited to go to is a key component of planning your event. A hotel is a common choice for events such as seminars. Whatever location you choose, make sure that events like the one you want to host have been managed before at the venue.

Create an Interesting Agenda

Having an agenda that describes what the event will cover will help potential attendees to know what to expect from it and will build their anticipation. So share the agenda early. You can include it on a sign-up page.

Set the Day and Time

Setting the right day and time for the event is important for making sure that people will show up for it, and that they will be there on time. Tuesdays and Thursdays are generally the best days. It’s good to start a morning event, such a seminar, at around 10 a.m. This is because people will be energetic and alert during this time and they will have enough time to get to the event in the morning.

Evenings are an ideal time for networking events. Unless your event is a holiday event, be careful not to schedule it on a holiday, when most people will be with friends or family.

Send out invitations early so that people have plenty of time to add the event to their calendars. Remind them as the date for the event approaches so that they won’t forget about it.

To encourage people to register early, offering a discount for early-birds is essential. To make your offer even more enticing, you can add other incentives such as free t-shirts or books. If possible, before the event, call the people who have registered to remind them that the event will be happening soon. You can also remind them by email and send them text reminders on their phones.

Partnering with other businesses will help you to spread the message about the event. The businesses can help you to promote the event on their social media platforms, websites, and newsletters.
